Ever since transferring to eGovernment, the Dubai Police have managed to feed into its computer system 16,514 paper files of their staff, and with that 70 per cent of the electronic transfer has been completed, said Brigadier Ahmad Hamdan bin Delmook, Head of the General Department of Electronic Services.

He said that the "electronic file project" for the force’s human resources was begun in the year 2003 and was being executed by national computer programmers who had prepared the necessary software. According to the official, the project has helped senior officers to take prompt decisions based on accurate figures and statistics. It maintains confidentiality and just 5,701 employees are eligible to retrieve information from the programme.

Decision-makers can retrieve information based under any head, be that 'name', 'rank', 'academic qualification', 'appointment date' or 'nationality'.

"The eFile of an employee also includes appreciation certificates and notices he or she had received," said Brig. Hamdan bin Delmook.

He said that Dubai Police have been steadily transferring into eGovernment and were following a certain plan to provide electronic services within the Force and to its clients. "We are committed to continue to rank first among Dubai government departments in the transformation process," he said.

For the electronic file project, the department needed to prepare special software.

"We have prepared a main database and have deployed it to cater to thousands of employees by maintaining the factor of flexibility to enable quick retrieval, authentication and achieving," he said.

Hissa Mohammed Saeed Al Sulaiti, head of the department's Electronic Portal Project, said that the transformation of internal processes into electronic was launched simultaneously with that of external public services. The two lines of the transformation supported each other and helped achieve the 70 rate of transformation.

The electronic services provided on the electronic portal have facilitated the procedures, and reduced paperwork. The project allows linking between the Force's different departments, and the police stations.

Any employee can enquire and get information instantly regarding leaves, salary notifications, annual training plan, job title and job description. The project also gives the opportunity to the employees to make their suggestions and to know about the activities of the other departments, police stations and the opinions of the people at large, she said.
